Sending an email after scanning a document from the HP printer is very simple if you follow the quick steps given here. You can perform the Scan to Email setup using the embedded web server or HP Scan to Email wizard. Before performing the scan to email function, identify the SMTP server details and server authentication password. Steps to set up scan to email in the HP embedded web server:

  • On your computer, open the default browser and enter the printer’s IP address in the URL field.
  • You can identify the IP address from the printer’s touchscreen panel or configuration sheet after connecting it to your wireless network while to know how to send email from HP printer.
  • Once you have logged in to the embedded web server, click the Digital Sending tab and select the Email Settings option from the left-side panel.
  • Enter the SMTP gateway settings in the required fields.
  • Under Default From Address, enter your email address and name.
  • Configure the necessary settings and click the Apply button.
  • Now, go to the printer and make sure it is turned on.
  • Place the original document on the scanner glass or load it into the ADF.
  • Navigate to the printer’s control panel and perform the Scan to Email function.
  • The scanned document will be sent as PDF to the specified email address (recipient).

Steps to set up Scan to Email wizard on your Windows computer:

  • First, launch the HP Scan to Email wizard.
  • Click the New button to add a new outgoing email profile.
  • Enter your email address and display name in the required fields.
  • Create a security PIN and reenter it for confirmation.
  • Enter the SMTP server details and check the Always use secure connection (SSL/TLS) checkbox.
  • Check the Email Log-in Authentication checkbox and enter your User ID and Password.
  • Complete the configuration with the help of the on-screen prompts and click the Finish button.
  • Once configured, open to the printer’s scanner lid and place the original document you wish to email on the scanner glass.
  • Go to the printer’s control panel and tap the Email button.
  • Enter the recipient’s email address in the To field.
  • To change the default scan settings, tap the More Options button and select your scan settings.
  • Tap OK to send the scanned copy to the specified email address.
